GENERAL PURPOSE AND FUNCTION:

As an Administrative Assistant, you will provide coordinate office services for departments, prepare reports, maintain operating practices, and maintain data and records following records retention guidelines and requirements.

BASIC QUALIFICATIONS

Formal Education:

-Must possess a high school diploma or equivalent

Type and Length of Specific Experience Required

-Must possess a minimum of 6 months of work experience in an administrative role

Work history must include:

-Demonstrated ability to use apply basic knowledge of office management/operations

-Demonstrated proficiency in the use of office communication technologies (telephone, mail, email, facsimile)

-Demonstrated ability to analyze complex data and develop reasonable analysis, appropriate conclusions and/ or innovative solutions

-Demonstrated ability to solve practical problems and carry out responsibilities under general supervision

-Demonstrated ability to use discretion and maintain confidentiality in handling sensitive or proprietary information

-Must be able to work flexible schedules 

Job Requirements

PRIORITIZED SPECIFIC DUTIES PERFORMED AND ESSENTIAL FUNCTIONS:

-Coordinate office services for department, including personnel, budget preparation and control, housekeeping, records control and special management studies

-Maintain data and records following records retention guidelines and requirements

-Make recommendations on managerial methods in order to improve workflow, simplify reporting procedures or implement cost reductions

-Maintain operating practices, such as recordkeeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures to maximize efficiency of operations

-Coordinate collection and preparation of operating reports

-Prepare reports including formulating conclusions and recommendations for solutions of administrative problems

-Process shipper and property gate passes

-Maintain sign-in register for all visitors

-CCTV system monitoring

-Collect and mail for office personnel

-Submit Badge Access requests

-Submit telephone requests: voicemail- additions, changes, and deletions

-Notify tenants of visitor arrivals
