Provides administrative support to the Payroll department performing a variety of tasks such as, opening, date stamping and distributing all payroll related mail; garnishment, payroll income tax and any mail sent in from the branch offices.  Distributes all payroll faxes to appropriate staff.  Answer and route all payroll calls to the appropriate regional payroll staff for handling.  Provide customer service to all callers including the branch offices, and assist with simple payroll questions related to electronic paystubs and W2’s.  Reviews and prepares garnishment documents for scanning.  Handles light filing and updates vacation research request log.  Assist other regional payroll staff and supervisor as needed.  Research and resolve routine employee and Branch Office questions and issues as needed.

  1. Retrieves all payroll mail from mailroom various times during the day.  Opens all mail date stamping and sorting by region to be distributed to appropriate staff.  Opens all interoffice mail received from branch offices, stamps, and sorts by region and distributes to appropriate staff or folders.
  2. Forwards all faxes received through Right fax on computer or faxes received on the copy/fax machine.
  3. Prepares and creates cover sheets for garnishment documents to be scanned.
  4. Payroll receptionist; handles all calls forwarded to the payroll main line number by answering and forwarding to appropriate staff for further handling.  Assist callers with simple payroll related questions such as questions related to electronic pay stubs and W2’s.
  5. Assist with logging vacation research requests and payments when research has been completed.
  6. Assist with filing as needed such as payroll notes and documents related to on-cycle payroll processing.  Assist with other filing as needed.
  7. Assist with garnishment lookups by looking up employee information in the payroll system and coded the orders as time permits.
  8. Assist with employment verifications as time permits.   
  9. Communicates with field offices and associates to respond to questions regarding payroll issues.
  10. Provides quality customer service to all Branch offices and Shared Services.
  11. Assist Supervisors and/or Staff with additional duties and or projects as needed and assigned.

Job Requirements

MINIMUM QUALIFICATIONS AT ENTRY

Education/Experience:  High School Diploma or G.E.D. and 1 or more years of related experience, or an equivalent combination of education sufficient to perform the essential functions of the job.

Competencies (as demonstrated through experience, training, and/or testing):

  • Thorough understanding of standard office procedures and practices.
  • Demonstrated knowledge of mathematical concepts including computation of rates, ratios, percentages, averages and reconciliation.
  • Ability to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form.
  • Ability to cross-train and learn other department activities.
  • Demonstrated proficiency in various PC applications including word processing, spreadsheet, and presentation applications.
  • Excellent planning, organization and project co-ordination skills.
  • Ability to carry out multiple assignments concurrently.
  • Skill in clear and concise oral and written communication.
  • Ability to interact effectively at all levels and across diverse cultures.
