JOB SUMMARY:

Responsible for the pre-sale, invoice and receivables process through the tracking of sales proposals, contracts and following the overall payment cycle for Technology Services Division’s national client base. Working closely with the Finance and Service Departments, this role will also support the monthly financial month-end close process.

ESSENTIAL FUNCTIONS

  • Refer and track sales leads for National Account portfolios.
  • Review and prepare contracts and proposals as requested.
  • Maintain, track and update National Account customer KPIs and Service Level Agreement data.
  • Compile data, prepare invoices and bill according to client’s contract. 
  • Review and verify invoices for detailed documentation, appropriately code for AP system and obtain proper approval prior to submission for payment.
  • Monitor accounts to ensure payments are up to date.
  • Review payment receipts and follow up on outstanding balances as needed.
  • Send reminders for payments and/or contact customers directly when necessary.
  • Answer general inquiries, research and resolve invoice discrepancies.
  • Work collaboratively with sales, service and finance departments to resolve accounts receivable issues in a timely manner.
  • Correspond with National Accounts Manager for matters requiring special handling.
  • Copy and file invoices with supporting attachments.
  • Prepare custom weekly and monthly reports as required by the customer.
  • Provide cross functional support for the Service team.
  • Participate in month-end duties as requested.
  • Support other projects and tasks as assigned.

Job Requirements

MINIMUM QUALIFICATIONS AT ENTRY:

Additional qualifications may be specified and receive preference, depending upon the nature of the position.

  • Technical Skills:
    • Computer literate
    • Ability to type a minimum of 30 words per minute
    • Demonstrated proficiency in Microsoft Office software including Word, Excel, Outlook and database applications preferred.
    • Ability to use standard office equipment
  • Communication Skills:
    • Ability to communicate in a clear and concise manner
    • Excellent written and verbal communication with clear and pleasant speaking voice including good grammar
  • Customer Service Skills:
    • Ability to maintain a strong and positive customer service orientation

Education/Experience:

High School Diploma or GED required; Associates degree in a business-related field a plus. Two to three years related experience and/or training; or equivalent combination of education and experience.
